Lab Equipment Inventory and Relocation

Global Pharmaceutical Company

Client Challenge
Our client is a global research-driven pharmaceutical products and services company. It also provides pharmacy benefit management services as well as production facilities for several licensed products. One of their R&D department sub-groups had over 30 laboratories housed in five different buildings. The department suffered inefficiencies due to the physical locations and outdated utilities of the existing laboratories. The client designed and built a new building specifically for this sub-group that consolidated all of their laboratories into one location to increase production and reduce downtime.

The task at hand was to relocate all analytical equipment from the remote buildings into the new building with minimal disruption of normal activities. The equipment included primarily HPLC, GC, and CE systems. In all, approximately 150 items required relocation into the new building. Additionally, the equipment had to be qualified with performance verification prior to being placed back into service in the new building.


Our Solution
Our client subcontracted the equipment move to two suppliers. One supplier served as the physical packer and mover of the equipment from location to location. System One, the second supplier, was in charge of dismantling all equipment prior to packing, reassembling it after unpacking, and qualifying each analytical system.

Scheduling was accomplished via weekly meetings between the client and the other supplier. System One assigned an onsite project manager for the relocation project, along with five technicians on a daily basis to meet the project requirements. System One performed a full inventory prior to disassembly to ensure that all equipment was tracked properly throughout the moving process. Lower priority laboratories were designated to move first so that they could be used while the higher priority laboratories were being relocated.

Technicians worked in teams to label electrical/utility connections, disassemble systems, and finally reassemble the systems in the new building. Qualification of all systems was started concurrently as items were being moved to reduce the project timeline.

The Results
The equipment move was accomplished within a three-month period. The client was supplied with a final turnover package which included bound copies of all service reports, qualification documents, packing slips for each unit, and electronic and hardcopy versions of the current inventory listing. Final approval of the turnover package occurred within one month of submittal to the client. All work was delivered on time and without sacrificing quality.
